Workroom gives interior designers, architects, builders, and similar professionals (“Pros”) tools to manage their business, projects, and client relationships. It also lets a Pro's Clients review project documents and pay invoices through the Platform.

This Privacy Policy explains what personal information we collect, how we use and share it, and what choices and rights you have. Using our Platform means you've read this Policy.

Our “Platform” means Workroom's apps, sites, and services that this Policy is posted on. “We,” “us,” and “our” refer to The Indema Company, Inc., a Wyoming corporation doing business as Workroom. “You” refers to anyone who visits or uses the Platform.

Information We Collect

Information you give us

• Account and profile information: your name, email, and, if you're a Pro, business details like your studio name and services offered.

• Content you create or upload: project details, tasks, budgets, invoices, files, photos, receipts, messages, and similar content you add to the Platform.

• Payment information: if you send or receive payments through the Platform, we collect what's needed to process that, like billing details and payment method (handled by our payment processing partners -- see “How We Share Information” below).

• Communications: when you contact us, or use the Platform to message a Client, Pro, or Vendor, we collect the content and details of that communication.

• Feedback and surveys: anything you share if you respond to a survey or give us feedback.

Information from others

• Sign-in and integrations: if you sign up or connect the Platform through a third-party service (for example, Google), or connect an integration like Google Calendar, QuickBooks, or a Zapier-connected app, we receive the information needed to make that connection work.

• Other users: if a Pro adds information about a Client or Vendor to the Platform (for example, contact details on a project), we collect that as part of providing the Platform to the Pro.

• Service providers: our payment processors and similar partners may share information with us as needed to provide their services (for example, confirming a payment went through, or verifying contact details to prevent fraud).

Information collected automatically

Like most platforms, we automatically collect some technical information every time you use Workroom: your browser type, device type, IP address, pages viewed, and similar log data.

Cookies

We use cookies and similar technologies to help the Platform function and to understand how it's used. We don't currently change how the Platform behaves in response to browser “Do Not Track” signals, unless required by law.

Location information

We may receive general location information inferred from your IP address, or more precise location if you enable it on your device or provide an address (for example, a project site address).

AI Features

Workroom includes AI-assisted features (for example, Walter, which can read and extract information from receipts and similar documents). Content you upload may be processed by these features to provide that functionality. You're responsible for reviewing AI-generated output before relying on it. We don't use your content to train AI models for use outside your own account, except as described in this Policy.

Connecting Your Gmail Account

If you're a Pro, you can choose to connect your own Gmail account to Workroom. This is optional, and it's tied to your individual Workroom account -- we don't access a Client's or Vendor's Gmail, and we don't access anyone's Gmail without them personally granting that permission through Google's own consent screen.

If you connect Gmail, we request the following permissions, and use them only as described:

• View your email messages and settings (Google scope: gmail.readonly) -- so Walter can read relevant emails in order to log client communications against the right project or client record in Workroom, and extract action items or other relevant details into your Workroom tasks and records, the same way Walter reads receipts.

• Manage drafts and send emails (Google scope: gmail.compose) -- so Walter can prepare suggested reply drafts for you. Workroom does not send email on your behalf automatically; a draft is only sent when you personally review and choose to send it.

• See your primary Google Account email address (Google scope: .../auth/userinfo.email) -- so we can identify which Google account you've connected to your Workroom account.

We access, use, and store this data only to provide the Gmail-related features described above. We don't use data obtained through your Gmail connection to serve advertising, and we don't transfer it to third parties except as needed to provide these features (for example, our AI processing partner, under the terms described in the AI Features section above), to comply with the law, or with your direction. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

You can disconnect your Gmail account at any time, either from your Workroom settings or from your Google Account's third-party access permissions. Once disconnected, we stop accessing new Gmail data; communications or data already logged into your Workroom project records remain there as part of your account data, consistent with the Data Retention section below.

How We Share Information

We don't sell your personal information, and we don't share it with third parties for their own marketing purposes.

• Service providers: we share information with the vendors who help us run the Platform, including cloud hosting and payment processing partners, solely to provide those services.

• Other users: if you're a Client or Vendor, the Pro you work with will see information relevant to your project, since that's the point of the Platform.

• Corporate transactions: if Workroom is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this Policy.

• Legal reasons: we may disclose information if required by law, legal process, or a good-faith belief that it's necessary to protect our rights, our users, or the public, or to enforce our agreements with you.

Your Choices and Rights

• Access, correct, or delete your information by contacting us (see below), or by updating your account settings where available.

• Opt out of marketing emails using the unsubscribe link in any marketing email, or by contacting us.

• Deactivate your account by contacting us.

We'll honor reasonable requests to access or delete personal information even where not strictly required by law, and may ask you to verify your identity first.

Data Retention

We keep personal information only as long as needed for the purposes described in this Policy, unless a longer period is required by law (for example, tax or accounting records). We may retain de-identified data after an account is deleted, and content you've shared with others (like messages or shared project details) may remain visible after your own account is deleted, since we don't control copies others may have.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect your personal information. For more detail, see our Security page.

International Transfers

Workroom is a U.S. company, and personal information may be processed in the United States or other countries where we or our service providers operate. Data protection laws vary by location, and we take reasonable steps to protect your information consistent with this Policy regardless of where it's processed.

If You're in the European Economic Area

To the extent GDPR applies to you, our legal basis for processing your information depends on the context: performing our contract with you, our legitimate business interests, your consent, or compliance with legal obligations. Where we rely on consent, you can withdraw it at any time without affecting processing that already happened. You also have rights to object to or restrict certain processing, and you can lodge a complaint with your local data protection authority.

California Privacy Rights

If the CCPA applies to you, this Policy describes our privacy practices and how to request access to or deletion of your personal information. We don't sell personal information. You can make a CCPA request by contacting us below; we may ask you to verify your identity, and you can designate an authorized agent to make a request on your behalf.

Sensitive Personal Data

Please don't submit sensitive personal data (like government ID numbers, health information, or information about race, religion, or political views) through the Platform unless it's necessary for the service (for example, information you choose to include in project notes). If you do submit it, you're consenting to our processing it consistent with this Policy.

Changes to This Policy

We may update this Policy from time to time. If we make a material change, we'll notify you by email, through the Platform, or by other reasonable means before it takes effect. Continuing to use the Platform after that means you accept the update.
