You shouldn't price a year
while waiting for a callback.

Nine reports covering money in, money out, hours, tax, products, deliveries and tasks — readable by the person running the firm, not only by someone you have to hire. You don't need a CFO on staff or your accountant free this afternoon to know what you're owed, what you're holding, and what to charge next.

Why this matters most

Nobody should have to wait for permission to understand their own firm

Design businesses move faster than the people who normally hold the numbers. Your accountant closes the month when they close the month. A CFO is a hire most firms at five, ten, fifteen people can't justify. So the decisions get made anyway — on instinct, on last year's rate, on a feeling about how the last one went.

That is how a firm starts a year-long project at the wrong rate. Not through carelessness, but because the person who could have said "your realization is six per cent and your last three jobs came in under" wasn't available in the week the proposal went out. And that mistake doesn't stay with the firm — it reaches the team hired against that revenue, the trades scheduled around it, and the client who now has a designer quietly losing money on their house.

Reports and the live project audit exist to end that. Every number here is readable by the principal, on a Tuesday, without an appointment.

The nine

Each one answers a question you'd otherwise chase

These aren't dashboards to admire. Each is the answer to a specific question a principal, a bookkeeper or a project manager asks on a particular day of the month. Pick one and look at the real thing.

Who owes us, and how late?

Total invoiced against paid and outstanding, with aging on every overdue line and payout status alongside. The three numbers at the top always add up, so you never reconcile the report before you can use it.

The uncomfortable ones

Three numbers most firms have never seen

Plenty of software will tell you what you invoiced. These are the figures that tell you what happened to the work you did but didn't bill, the deposit you're sitting on, and the estimate you got badly wrong.

Timelog report 6% Realization

Billable is not billed. This firm is 79% billable and has invoiced six per cent of it — $8,910.82 sitting unbilled against $9,473.32 of billable work.

Time tracking →
Deposits $6,340.80 Held 30–60 days

A client deposit is a liability, not revenue, until the estimate converts. Every dollar here is aged, so none of it quietly becomes a surprise.

Estimates →
Task efficiency −95% Time variance

21h 41m actually spent against 433h budgeted. Whether that's under-logging or wild over-estimating, it's the number that tells you which.

Project management →
Tax

Quarter-end stops being archaeology

Tax gets tracked where it was charged — by category, and by country, state and city — so filing is reading a report rather than reconstructing a year from invoices. A firm working across California, the Hamptons, London, Vancouver and San Miguel is dealing with sales tax, VAT, GST and IVA at once, and each one lands in the right place.

  • Collected and pending kept apart, so you're not filing on money the client hasn't paid yet.
  • By category — design fees carry VAT in London and IVA in Mexico City but no sales tax in most US states, and the report knows the difference.
  • By jurisdiction — country, state or province, then city, which is where the liability actually concentrates.

Out the door

A report nobody sends is a report nobody reads

Every report emails from where it sits, with the full row set attached as a CSV. Your bookkeeper gets the tax report on the first, your client gets the installation list before the van arrives, and nobody exports anything into a spreadsheet to send it on.

  • Send to anyone — recipient, CC, your own subject and message.
  • CSV attached with every row in the current view, not just the page you're looking at.
  • Or export it yourself and take the whole thing into whatever you already use.
  • Installation downloads as a PDF, because it's going to a crew, not an inbox.

Where the numbers come from

Nothing here is entered twice

Invoices & estimates

What you billed, what converted, and the deposits still held against work you haven't invoiced yet.

Purchase orders

Vendor commitments, payments and balances — and the delivery dates the installation report reads from.

Timelogs

Every logged hour with its billable flag and rate, which is what makes realization calculable at all.

Products & tasks

Cost and sell price on every product; estimated against actual on every task.

Questions we hear

Reporting, specifically answered

Is the profit & loss Workroom's number or QuickBooks'?

QuickBooks'. It's pulled live on the basis and date range you choose — accrual or cash — and stamped with when QuickBooks generated it. Workroom doesn't recalculate your books; it shows them next to the operational numbers they came from.

Can we send a report on a schedule?

Reports send on demand today: recipient, CC, subject, message and the CSV attached. If a standing monthly send is what you need, tell us on the demo — it's a common ask and it's useful to know who's asking.

Does the CSV contain everything or just the page?

Everything in the current view. Filter the report down to what you mean first, then send or export — the attachment matches the filter, not the pagination.

Can our bookkeeper see the financial reports without seeing everything?

Yes. Role-based access gives finance visibility into billing, tax and sync while designers see specs and tasks. You decide who can see margin.

What if our books are currently a mess?

Common, fixable, and honestly part of why firms switch. Onboarding includes mapping your accounts and cleaning up categories so the sync starts from solid ground rather than importing the chaos.
