Pricing, specifically answered

Is there a free trial?

No — and deliberately. A trial means evaluating an empty system, which tells you nothing about software this connected. Instead every Pro studio is set up with their real accounts, vendors, and projects, and has thirty days from go-live to get a full refund.

Why is onboarding mandatory on Pro?

Because the parts that make Pro worth having — the QuickBooks mapping, purchase orders, retainers — are the parts that go wrong when they're configured in a hurry. A mis-mapped chart of accounts is invisible for a quarter and expensive to unpick. We'd rather set it up correctly than watch you leave.

Do I pay for onboarding before I can use Workroom?

You have access as soon as you sign up. Onboarding is scheduled at the same time, and go-live is when your studio is configured. The refund window opens then.

We're 6 people but only 4 would use it daily. How should we license?

License the people who need an account. Clients reach their portal without a seat, and Pro has unlimited users, so you can add the other two whenever it makes sense.

Can we change plans or cancel?

Yes, at any renewal. Your data exports on the way out as readily as it imports on the way in.

What if we're bigger than twenty people?

Full migration is $2,450 and includes ten active projects plus your historical records. Beyond that, additional projects are $195 each. The subscription price per user doesn't change.

Do you help us move off spreadsheets or another platform?

That's exactly what migration is for, and it's included in every go-live tier rather than sold separately. Client records, vendor records, invoices, estimates, purchase orders, products, and timelogs come across, with a parallel-run period before you cut over on the larger tiers.

What the number is really against

The expensive option isn't the software

Compare Workroom to another platform and you're comparing subscriptions. That isn't the comparison that decides anything. A CFO is a hire most firms at five, ten, fifteen people can't justify, and your accountant's calendar was never yours to schedule.

So the expensive thing is the year-long project priced on last year's rate because nobody called back in the week the proposal went out. That bill doesn't arrive as an invoice.
